Promise to Pay tracking for unpaid invoices
When a client says they will pay next week, record the amount and date alongside the invoice. A Promise to Pay gives your next follow-up context; it is not a payment or a guarantee.
Turn a conversation into a clear record
Ask which invoice the commitment covers, how much the client expects to pay and on what date. Confirm those details in your usual correspondence. A vague “soon” is not a date you can reliably track.
For example, a client with ₹20,000 outstanding may promise ₹8,000 on 10 November. That commitment covers only part of the balance. Recording the promise must not mark the invoice paid or reduce the amount owed.
How to record a promise in NudgeDue
- Open the invoice and find Payments & promise to pay.
- Choose Record promise. Enter the promised amount, date and any useful notes.
- Review the commitment. Do not enter more than the outstanding balance.
- Save the promise and check its indicator in Reminder Status.
Standard reminders are held while a promise is active. The invoice’s financial status stays separate, so an overdue invoice can still have an active commitment.
What each promise status means
- Active
- The commitment is still being tracked. Check its date and amount before preparing another reminder.
- Fulfilled
- Recorded payments cover the promised amount. The invoice may still have an outstanding balance if the promise covered only part of it.
- Broken
- The promised date has passed without sufficient recorded payments. Check your payment records and any updated agreement before contacting the client.
- Cancelled
- The commitment is no longer active. Cancellation does not erase the invoice balance or record a payment.
Keep partial payments and changed dates accurate
When money arrives through your usual payment channel, record it on the invoice. NudgeDue tracks the payment record; it does not collect or verify the bank transfer for you. Check the remaining invoice balance and promise state after saving.
If the client changes their commitment, edit or cancel the promise using the invoice’s supported actions. Record the updated agreement rather than treating the original promise as a completed payment.
Follow up on a missed commitment professionally
First confirm that a payment has not arrived under an unfamiliar reference. Then ask the client to clarify the payment status or provide an updated date and amount. Use a missed-promise reminder example as a starting point and review the final message before approval.
NudgeDue does not automatically email the client because a promise is broken. Reminder delivery requires your review and approval, along with configured email delivery.
